This Privacy Policy explains how CasafloIQ (“CasafloIQ,” “we,” “us”) collects, uses, and shares information when you use our property management platform at casafloiq.com.

1. Information We Collect

• Account information: name, email address, and profile photo.
• Property & lease records: property addresses, unit details, lease terms, and rent amounts entered by landlords.
• Payment information: processed directly by our payment processor, Stripe. We do not store full card or bank account numbers on our own servers.
• Maintenance request content: descriptions and photos submitted by tenants, used to route jobs to vendors and, optionally, summarized by AI (see Section 4).
• Vendor contact information: name, trade, and phone number, provided by a landlord when adding a vendor, used to send maintenance job SMS notifications.
• Usage data: pages visited and actions taken in the app, collected for analytics and reliability.

2. How We Use Information

We use the information above to:

• Operate core features — property, lease, and payment management, and maintenance request routing.
• Process subscription billing and rent payments through Stripe.
• Send maintenance job notifications to vendors by SMS through Twilio.
• Send transactional email (receipts, alerts) through Resend.
• Maintain the security and reliability of the service, and comply with legal obligations.

3. SMS / Text Messaging Program

When a landlord adds a vendor to CasafloIQ, we send that vendor a one-time text message asking them to confirm: “You’ve been added as a vendor contact by [Landlord Name] via CasafloIQ, a property-maintenance coordination platform. Reply YES to receive maintenance job text alerts. Reply STOP to unsubscribe.” The vendor must reply YES themselvesbefore any maintenance job notification texts are sent — consent is recorded only from that reply, never granted by the landlord on the vendor’s behalf. Message frequency varies. Message and data rates may apply. Reply STOP to a message at any time to opt out, or HELP for assistance.

No mobile phone number or SMS opt-in data is shared with any third party or affiliate for marketing or promotional purposes. All the categories of information described elsewhere in this policy exclude text messaging originator opt-in data and consent — that information is not shared with third parties except our SMS delivery provider, Twilio, solely to the extent necessary to deliver the message itself.

4. AI Processing

When a tenant submits a maintenance request, the description may be sent to Anthropic’s Claude API to suggest a category and priority level. This content is used only to generate that suggestion and is not used by Anthropic to train their models under our agreement with them.

5. Third-Party Service Providers

We share information with the following service providers, only as needed for them to perform their function for us:

• Stripe — subscription billing and rent payment processing
• Twilio — SMS delivery to vendors
• Anthropic — AI maintenance request triage
• Resend — transactional email delivery
• Supabase — database, authentication, and file storage
• Vercel / Cloudflare — application hosting and content delivery

We do not sell your personal information.

6. Data Retention

If a landlord cancels their subscription, their data is retained for 60 days after the billing period ends (in case they resubscribe), after which it is permanently deleted from our systems.

7. Data Security

Data is stored with row-level security policies scoping access to authorized users, and transmitted over encrypted connections. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Choices

You may access, correct, or request deletion of your personal information by contacting us at the email below. Vendors may opt out of SMS at any time by replying STOP.

9. Cookies

We use cookies necessary to keep you signed in and to remember basic preferences. We do not use third-party advertising cookies.

10. Children’s Privacy

CasafloIQ is not directed at, and is not intended for use by, anyone under 18 years old.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated before they take effect.
